Challenge

  • Deliver an exceptional Toyota European Retailer Meeting (ERM) for 5,000+ dealers and partners from 28 European countries
  • Minimise event environmental impact and carefully consider resource consumption.

Solution

  • London selected for excellent access and transport links, central hotels and ExCeL's green credentials
  • Engagement process included creation of on-line registration in 28 different languages with multi-lingual support team
  • Split back-to-back in two waves delegates attended a three-day/two-night programme, involving flawless execution of travel & hotel bookings, ground transportation, catering and a social programme
  • Event included organising 22 private country dinners & 23 regional meetings, sightseeing, the main business meetings, car exhibition and gala dinner
  • Event analysed to minimise environmental impact – 19,248 kilos of cardboard, glass, plastic, paper, food waste and build materials recycled
  • Best practise in movement of delegates and staff – included measuring CO emissions of all transport, use of hybrid cars and charter flights
  • Local wasteland was transformed into a community garden instead of guest gifts.

Results

  • 89% of guests rated their experience as ‘excellent' or ‘good'
  • Event deemed highly successful from logistical and motivational point of view
  • Recycling at the event equated to the weight of 476 average people.
